1. What Information We Collect

Depending on the activities or programmes you take part in, we may collect: identity (name, nationality, date of birth, identity documents where required); contact details (email, telephone, address, messaging accounts); payment records (we do not store card numbers directly); participation records (registrations, attendance, feedback); dietary & health (allergies, only for catering); communications (emails and messages); and images (photographs or video from events, where applicable).

We only collect what we genuinely need.

If you subscribe to our Monthly Letter through beinghome.uk/welcome, we collect only your email address. You may unsubscribe at any time via the link in every letter.

2. Why We Need This Information

Contractual necessity: to manage your registration, process payments, and deliver programmes you have joined.

Legal obligation: to comply with tax reporting, anti-money laundering, and other regulatory requirements.

Legitimate interests: to improve our services and carry out day-to-day administration, provided this does not override your rights.

Consent: where required. This includes (a) using photographs or video from events for promotion, and (b) sending you our Monthly Letter. You may withdraw consent at any time.

3. How We Use Your Information

  • Administering and running our programmes and events
  • Processing registrations, payments, and refunds
  • Communicating with you about event arrangements, changes, or cancellations
  • Arranging catering (including dietary restrictions and allergens)
  • Complying with tax, financial reporting, and other legal obligations
  • Improving and evaluating the quality of our services
  • Using event photographs or video for promotion, where you have consented

4. How Long We Keep Your Information

We retain member records for 6 years after your membership ends, and event attendance records for 3 years, primarily for accounting and legal purposes. Photographs and videos are retained until no longer needed for promotional purposes, or until you withdraw consent. We review and delete unnecessary data regularly.

Email addresses collected for the Monthly Letter are retained until you unsubscribe, and deleted from all our systems within 30 days thereafter.

5. Who We Share Your Information With

We do not sell or rent your data. We may share information with trusted service providers acting on our behalf, including: payment processing; event ticketing and registration; form submission and workflow automation; email communication and newsletter delivery; and professional advisors (such as accountants and lawyers) under confidentiality obligations. Some of these providers are based outside the UK. Where this is the case, we rely on the UK International Data Transfer Addendum or equivalent safeguards approved by the Information Commissioner's Office. All providers are required to handle your data in accordance with UK GDPR.

6. Your Rights

Under UK GDPR, you have the right to: access your personal data; correct inaccurate data; request deletion ("right to be forgotten"); object to processing; request data portability; withdraw consent at any time. To exercise any of these rights, email hello@beinghome.uk. We will respond within 30 days.

7. How We Keep Your Data Safe

We use appropriate technical and organisational measures to protect your data from unauthorised access, loss, or disclosure. Payment data is handled exclusively by a PCI-DSS compliant payment processor. We do not store card numbers directly.

8. Cookies

Our website uses a single functional cookie to remember your language preference (EN/ZH). No tracking or advertising cookies are used. No third-party analytics scripts are active on this site at present.

4. 数据保留期限

会员记录在会员关系结束后保留 6 年,活动出席记录保留 3 年,主要用于财务和法律目的。照片和视频保留至不再用于宣传,或您撤回同意为止。我们定期审查并删除不再需要的数据。

订阅月度来信的邮箱会保留至您取消订阅为止,并在取消后 30 天内从我们所有系统中删除。

5. 我们与谁共享您的信息

我们不出售或出租您的数据。我们可能与受我们委托的服务供应商共享信息,包括:支付处理、活动售票与报名、表单提交与工作流自动化、邮件沟通与通讯发送、以及保密义务下的专业顾问(如会计师、律师)。部分供应商位于英国境外。在此情形下,我们依据英国国际数据传输附录或信息专员办公室认可的同等保障机制进行数据传输。所有供应商均须按英国 GDPR 规定处理您的数据。

6. 您的权利

根据英国 GDPR,您有权:访问您的个人数据;更正不准确的数据;请求删除(「被遗忘权」);反对特定处理;请求数据可携带;随时撤回同意。如需行使上述任何权利,请发邮件至 hello@beinghome.uk,我们将在 30 天内答复。

7. 数据安全
